Member Code of Conduct Enforcement Procedures
1. Code of Conduction Orientation
All members will be oriented to the expectations stated in the Member Code of Conduct Policy upon membership and given a copy of the Member Code of Conduct and Enforcement Procedures These will be sent to members yearly at the time of roster submission and also referenced at least annually in All Member News.
2. Review of Membership
The Board of LWV Minnesota reserves the right to review any member’s actions in conforming to the Code of Conduct as well as the related policies of non-partisanship and conflict of interest. If a member fails to meet the requirements in the Member Code of Conduct, then the following actions and accompanying documentation (Exhibits A, B and C) will apply in sequence, as appropriate.
3. First Violation of the Code of Conduct – Exhibit A
The member will be notified via email and USPS by the Executive Director or the LWVMN President that they have violated the Member Code of Conduct. The purpose of the communication is to notify the member that they have violated the Member Code of Conduct and to remind the member of the intent and purpose of the Member Code of Conduct. Another copy of the Code and Procedures will be included, and a copy of the email will be sent to the member’s local League President or another local League officer so they may assist with any necessary guidance or mentoring.
This communication should be done expeditiously in response to the violation and the communication will indicate the specific violation and the consequences should there be a second violation. (An official censure letter from the board) The ED or President will complete Exhibit A and this action will be reported to the board at the next board meeting.
4. Second Violation – Exhibit B
The purpose of the Report of Second Violation of Member Code of Conduct is to notify the member that they have again violated the Member Code of Conduct and to document in writing the ongoing nature of the member’s behavior.
The ED or President will complete Exhibit B and this action will be reported to the board at the next board meeting or in a special meeting of the board in the case of an egregious violation. The findings of the LWVMN Board regarding the violation will be documented in writing, signed on behalf of the Board, and communicated to the member and to their local league President or another local League officer. It will indicate the specific violation and the consequences of a third violation. (Loss of LWVMN membership.)
5. Third and Final Violation – Exhibit C
The purpose of the Report of Third and Final Violation of Member Code of Conduct is to notify the violating member that the LWVMN Board has found that the member’s continued behavior and persistent violation of the Member Code of Conduct will not be tolerated. The member will be sent a registered letter from the LWVMN Board stating that their membership is terminated. The member’s local league President or another local League officer will also receive a letter via regular mail from the LWVMN Board regarding the termination of membership.
